HOSTEL ADMISSION GUIDELINES AND PROCEDURE 2024-25

The students taking admission during the Academic Year 2024-25 are advised to apply online for the university hostel accommodation. The applicants are required to type the URL: https://uohyd.samarth.edu.in/index.php/site/login in any browser to log in and apply for hostel admission. Please download the User Manual for Online Hostel Admission below and read it carefully. Please follow the steps mentioned therein to apply for hostel admission. The steps for online hostel application are also written below for reference.

IMPORTANT INSTRUCTIONS (Read carefully)

  1. Accommodation in the hostel is subject to the availability of seats and on the basis of first come, first serve. The online hostel application window will be opened accordingly.
  2. The candidates must be prepared to arrange for their own accommodation until the hostel admission process is completed.
  3. No hostel accommodation shall be provided to the earlier boarder of the UoH hostel who joins a second program for a similar degree.
  4. The candidates residing within a radius of 50 km of the university campus shall not be considered for hostel accommodation in any circumstances.
  5. The candidates who had not opted for hostel accommodation while applying to the university shall not be given hostel accommodation. The Chief Warden’s Office will not be able to entertain queries in this respect.
  6. If any of the documents or information submitted for hostel admission are found to be incomplete/forged/fake at any point in time, the hostel accommodation shall be cancelled forthwith, and disciplinary/legal actions shall be initiated by the university.
  7. Documents not in the prescribed format shall not be accepted, and applications for hostel admission shall be rejected.
  8. The candidates are advised to keep soft copies (.pdf, .jpeg, .jpg) of the relevant documents ready. The size of each file needs to be between 10 KB to 2 MB. A maximum of five files can be submitted.
  9. The candidates are advised to come prepared to make online payments. Online payments (Credit Card, Debit Card, Internet Banking, and UPI) can be made via any scheduled bank.
  10. The candidates whose hostel admission is successful will receive a message on their Samarth portal.
  11. To complete the admission process, the candidates whose hostel admissions are successful are required to go to the allotted Hostel Offices, submit their ink-signed Undertaking Forms and Hostel Allotment Order, sign in the Hostel Joining Registers, and move into the hostel.
  12. The candidates who fail to occupy their hostel rooms within 48 hours of receiving the confirmation on their Samarth portal shall forfeit their right to claim hostel accommodation, and their hostel admission shall be cancelled automatically. Such candidates shall be required to apply again and pay afresh. However, accommodation shall be provided subject to availability.
  13. The candidates whose applications are rejected have the provision to apply again within 72 hours by uploading the relevant documents/information. However, accommodation shall be provided subject to availability.
  14. Claims for refunds on withdrawal of hostel admission or due to rejection/cancellation of hostel admission shall be settled only after the completion of the hostel admission process for all academic programs. The candidate needs to download the Hostel Admission Withdrawal/Cancellation Form given below and submit the same to the allotted hostel office in person or through email.

LIST OF DOCUMENTS REQUIRED TO UPLOAD WITH THE ONLINE HOSTEL APPLICATION

  1. Residence Proof (Mandatory: Applicable to all candidates): Residence Certificate issued by a competent authority OR Aadhaar Card OR Voter ID OR Driving License OR Bank Passbook (updated within the last three months). No other documents shall be accepted.
  1. Social Category Certificate (In prescribed format): In case of candidates belonging to SC/ST/PWD categories.
  1. Income Certificate (Income less than Rs. Two lakhs per annum): In case of candidates belonging to SC/ST categories seeking a reduction in hostel fees.
  1. Medical Board Certificate (for PWD candidates): Issued by the competent authority in the prescribed format.

*The candidates belonging to SC/ST categories who do not have valid income certificates are to pay Rs. 3,150.00 for hostel admission.

STEPS TO BE FOLLOWED FOR ONLINE HOSTEL APPLICATION

  1. Type https://uohyd.samarth.edu.in/index.php/site/login in any browser (Chrome, Microsoft Edge, Mozilla Firefox, Safari) to go to the Samarth portal.
  2. In the Samarth portal Sign In page, type your Enrolment Number or Registration Number in the Username box.
  3. Type your Password.
  4. Click on the Login button.
  5. Now you are in your Samarth portal Dashboard.
  6. Click Services in the left pane.
  7. Go to the Hostel box in the main window.
  8. Click the Click here button.
  9. In the HOSTEL ACCOMMODATION box, click the Click here button.
  10. under Hostel Accommodation, click the Apply button.
  11. Slowly scroll down.
  12. Download the undertaking by clicking on Undertaking (blinking) and save it for later use.
  13. Slowly scroll down and read the instructions written in red carefully.
  14. Read about the documents required to upload. Keep the soft copies (.pdf, .jpeg, .jpg) of the relevant documents ready. The size of each file needs to be between 10 KB to 2 MB. A maximum of five files can be submitted.
  15. Scroll down and click the Browse button.
  16. In the pop-up windows, select all the relevant documents at a time and click the Open button.
  17. Now verify each uploaded document and ensure that all your relevant documents are uploaded properly.
  18. Scroll down slowly.
  19. Type the Emergency Contact Name, Emergency Contact Email, and Emergency Contact Mobile number in the required fields.
  20. Scroll down slowly and read the points of undertaking carefully.
  21. At the end, click on a small check box.
  22. Click on the Submit & Apply button.
  23. A message “Are you sure…?’’ will pop up.
  24. Please click the OK button to submit your hostel application.
  25. If you want to correct or cancel the hostel application at this point, click on the Cancel button.
  26. If you have clicked on the OK button, the window will display the message “Hostel allocation is under process.”
  27. Now, your hostel accommodation request has been initiated successfully, and please wait.
  28. If there is any objection or wanting of documents, you will get a necessary message to apply again.
  29. Please follow the instructions to be displayed on your screen to apply again.
  30. If you get a message saying, “Hostel allocation is approved,” click on the Pay Now button and follow the steps to pay your hostel admission fee.
  31. If your payment is successful, the name of the Hostel building and Room number will be displayed in the Samarth portal.
  32. Please go to the allotted Hostel Office within 48 hours, submit the ink-signed Undertaking Form that you downloaded and saved while filling up the online application and Hostel Allotment Order, sign in the Hostel Joining Register, and move into the hostel.
